Employee Terms

These Employee Terms supplement, and are part of, the NannyKeeper Terms of Service. By using the employee portal or time tracking, you agree to both. Capitalized terms not defined here have the meanings given in the main Terms of Service. In the event of a conflict between these terms and the main Terms of Service, the main Terms of Service control.
These terms describe the rules for household employees using NannyKeeper. They are not a standalone contract. The main Terms of Service govern your legal relationship with NannyKeeper, including disclaimers, limitations of liability, indemnification, arbitration, governing law, and termination.
1. Who we are
NannyKeeper is the software your employer uses to run payroll and prepare tax forms. Your employer hired you, sets your pay, and decides your hours.
We are not your employer. We do not file your personal tax return, and we cannot give you tax or legal advice. If you have a question about your pay, your hours, or your job, talk to your employer.
2. What we ask you for
Depending on what your employer has set up, we may ask you for your name and mailing address, your Social Security Number, your Form W-4 withholding choices, and your bank account details if you want to be paid by direct deposit.
We ask because your employer needs this information to pay you correctly and to give you a Form W-2 at the end of the year. Your Social Security Number is optional until your W-2 is prepared, and you can skip it during setup and add it later.
3. What we do with it
We encrypt your Social Security Number and your bank details before storing them. We share your information with your employer and with the payment processor that moves your pay. We do not file anything with a tax authority ourselves: we prepare the forms, and your employer files them, so your information reaches the IRS and your state through the forms they submit. We do not sell your information. Our Privacy Policy describes this in full.
You can ask us for a copy of the information we hold about you, or ask us to correct it, at any time.
4. Time tracking
If your employer uses time tracking, the hours you record are a record of what you entered. Your employer reviews and approves the hours that are actually paid. If approved hours do not match what you worked, raise it with your employer.
5. What we are responsible for
We work hard to calculate pay and prepare tax forms correctly, but we cannot promise the Service will always be available or free of errors. Your employer is responsible for paying you, for the hours they approve, and for the filings they make.
If something goes wrong on our side, the disclaimers and limitations of liability in the Terms of Service apply to you as they do to any user of the Service. Please tell us as soon as you notice a problem so we can work to fix it.
6. Changes to these terms
If we make a material change to these terms, we will post the updated version on this page with a new date. If you use a time-tracking link from your employer, we will ask you to accept the update the next time you open it. Otherwise, ask your employer to send you a new invitation and you will be asked then. Each version is dated at the top of this page, so you can always see which one you agreed to.
